HOW DOES THE BOOKING WORK?
All bookings need to be done through our website. We cannot take orders personally or via telephone or e-mail at the moment. Please click booking and select your location, date and time and also select all other required options. At the end of the booking processes proceed with the payment to complete the reservation. We will get in touch with you to confirm your booking and to clarify all the little details to make your experience with us memorable in the best possible way.
CAN I CANCEL MY BOOKING?
Unfortunately, it is not possible to cancel your booking with PicnicPals. This does also apply to guests who don`t show up. We have to keep the full amount to cover all costs for the setup and preparations of every picnic which is set up for your individual needs and tastes. To make everything perfect for you we have internal processes and place orders with partners which cannot be changed. Under certain circumstances – we will try to reschedule your booking, if you get in touch with us at least 7 days prior to the originally booked date. Thank you for your kind understanding!
WHAT HAPPENS WHEN THE WEATHER IS BAD?
We work with detailed weather forecasts to make sure that every picnic arrangement turns out to be a good choice. However, the weather plays by its own rules sometimes. In case that weather forecasts indicate very bad weather, we will get in touch with you to reschedule your booking. In case it starts raining during your stay we also provide you with umbrellas and blankets in certain locations to keep yourself dry, however make sure to bring whatever you need to keep warm and dry. We also pray for you that the clouds move away fast. Please understand that we cannot make any refunds based on bad weather conditions during your stay with us which is not under our control.
WHAT SERVICES ARE INCLUDED IN THE BASIC FEE?
Our goal is to make sure you can enjoy a few hours without having to worry about anything. Every booking includes a wide range of services: Delicious varieties snacks and finger food based on your choice (meat, fish, vegan, mixed), decoration, blankets, cushions/seating, table, tableware, napkins, water, juices and softdrinks, coffee/tea, ice cubes, salt and pepper, sugar, coffee/tea, coffee cream, arrangement and cleaning, hygiene protocol, umbrellas (only in certain locations), bluetooth soundbox, charging station. We also serve your optional extras to make every picnic a very individual experience for you and the respective occasion. Please select these items in your booking.
CAN WE STAY LONGER THAN 2 HOURS?
Our standard rate includes 2 hours of picnic and starts at the exact time of your booking – not your actual arrival time. In case you want to stay longer. You can pre-book this option as an extra option to stay 1 hour longer. We offer this option in collaboration with the Stay Foundation and donate 100% of the extra-charges for their charity projects. This means it`s a real win-win: You can stay longer and less fortunate people benefit from our donation. Find out more about this charity here. Our staff has to start cleaning up at least 15 min after your time slot. Please help them to start in time with the cleaning procedure in order to apply to our internal quality standards.
HOW CAN I PAY FOR MY PICNIC?
Please select one of the available payment options at the end of the booking processes. We currently offer direct transfers and Paypal. To guarantee your booking and prepare everything according to your individual choices it is necessary to charge you in advance. Please understand that we cannot accept any other payment option except our own pre-loaded gift cards. If you want to apply a voucher proceed to the checkout and select the option to apply a gift card code. Please fill in the code incl. hyphens (-). The amount loaded on your gift card will be immediately substracted from your order. Please make sure to select a package which uses all of your credits as we cannot do any refunds for gift cards at the moment. Thank you!
DO YOU HAVE A HYGIENE CONCEPT?
All picnic equipment is prepared carefully before each event and surfaces are sanitized thoroughly. In most location you are seated outside and your picnic is placed far away enough from other people nearby. Our team follows strict hygiene rules (distance, masks, gloves etc). You will find sanitizers at each picnic, too. As you pay in advance – we do not handle any cash on site for your own safety and also to protect our staff. Tips for a great service experience can be simply left on the table – if you wish.
DO I NEED A SPECIAL PERMISSION FOR MY PICNIC?
All locations we offer have been carefully selected and we`ve put already the work in for you to make sure that you have the required permission to enjoy your picnic there. Please keep in mind that certain location have their own rules which we have to comply to together. If this applies – you will be informed accordingly prior to your picnic (e.g. in certain places no alcohol is allowd in public places or you cannot use our soundbox to listen to music).
WHAT DO I NEED TO HOST A PICNIC AT MY OWN LOCATION?
We can set up a picnic pretty much everywhere where we have enough space. For a couple this means at least 5-6 square meter, for a group at least 9-10 square meter. We can do this at outdoor locations (e.g. your garden, terrace, balcony) or at indoor locations. In this case – please make sure that the room is empty and gives us enough space set everything up for you.
CAN YOU SHARE SOME INFORMATION ABOUT THE STAY FOUNDATION?
The Stay Foundation is a NGO organisation based in Stuttgart. They work with local heros in Africa to bring about positive change by supporting social entrepreneurship from locals for locals in the respective regions. So far they`ve been able to do projects in Uganda, Ruanda and Kenia. They manage all programmes with a very “lean” organization which means that more money is available. We are happy to support Benjamin Wolf – the founder – and his team by collecting donations. For you this means that you can not only have a good time, but simultaneously do good, too. If you book this extra option – you will be served alcohol varieties matching your selected food option and the respective location, setting and occasion. This can range from vodkas, gins, rums, whiskeys etc. Perfect for your lazy day off. Make sure all drivers stay sober for own safety and the safety of others.
WHAT DRINKS DO YOU SERVE AS THE LIGHT ALCOHOL OPTION?
If you book this extra – you will be served light alcohol varieties matching your selected food option and the respective location, setting and occasion. This can range from wines, sparkling wines, beers, light cocktails etc. Make sure all drivers stay sober for own safety and the safety of others.
WHERE DOES THE FOOD COME FROM?
We work with the best restaurants and caterers in each location to make sure you not only have a great time, but also enjoy great finger food and snacks. Our partners focus on local and fresh products and change the menu according to the season and occasion. If you have special requests (e.g. allergies) please let us know in advance and specify this in the remarks to your booking. We will do our best to cater to your needs. Keep in mind that we don`t prepare the food ourselves, but deliver it to your picnic location from high quality partners in each region.
ARE PICNIC ALLOWED DURING THE PANDEMIC?
As you enjoy your picnic outside and we apply to the hygiene protocols there is no risk at all. You can relax and enjoy your special time out. However, please inform yourself about the current regulations in the location of your planned picnic and comply to the respective rules of each district (e.g. amount of people, households, lockdown hours etc).
WHICH AGE RESTRICTION APPLY?
A picnic can be booked by anyone. There is no age restriction. However, we are not allowed to serve alcohol to minors. Our staff will check your ID on site in case you have ordered one of the alcoholic options. Thanks in advance for your cooperation and understanding.
WHY SHOULD A CHOOSE THE INSURANCE OPTION?
The insurance option is optional for those who want have peace of mind. We know that no one causes damage on purpose, but it can happen every now and then that guests break things by accident. In this case we have to replace some of the hand selected and valuable items. We work with special products which match our decoration and style, therefore we have to make sure replacements fit to our concept. This comes at an extra cost and effort which will be covered 100% by this option.
WHY ARE SOME DATES/TIMES BLOCKED IN THE CALENDAR?
Depeding on the location and bookings it can happen that we are fully booked for the chosen selection. Therefore the online booking system won`t allow you to proceed. If you need to stick to a certain date for personal reasons, drop us a line via our contact form and we will double check, if we can work something out or at least put you on the waiting list.
WHAT IF I MY INDIVIDUAL WISHES ARE NOT LISTED IN THE OPTIONS?
We do our best to put together a great experience at every location, therefore we have to standardise our processes to a certain level to make sure we offer you only the best quality you deserve. Therefore it is necessary to limit some of the options to make sure we deliver to our promises. However, we understand that there a certain individual wishes and needs which we are happy to consider.
